Administration Division

Introduction

Administration Department cooperates well with every department in MESTECC and plays an essential role in providing a strong network with the departments within.

 

Objectives

  • To provide support services and plays the role of facilitator to the Departments and Units in MESTECC
  • To ensure optimum support services provided to the relevant Departments and Units according to the guidelines and work procedure regulations
  • To ensure all aspects of security for MESTECC employees, documents/informations/buildings and items (personal and government) shall be protected and secured

 

Functions

Administration Division consists of 3 units:

MONITORING & COORDINATION UNIT

  • Coordinating and implementing activities in compliance to the Pekeliling Kemajuan Perkhidmatan Awam (PKPA)
  • Secretariat for the Mesyuarat Pegawai Kanan
  • Coordinating Quality programmes and activities
  • Implementation of relevant PKPA and standing orders from time to time
  • To manage administrative, logistics, office tasks and maintenances
  • To manage and coordinate special programmes such as monthly assembly, Hari Bertemu Pelanggan and interactive talks

ASSET MANAGEMENT UNIT

  • To manage supply and storage of office utilities
  • Secretariat of Jawatankuasa Pengurusan Aset dan Stor Kerajaaan (JPAK)
  • Secretariat of Jawatankuasa Ruang Pejabat
  • To manage the appointment of Stock verification and inspection board

OTHERS

  • Cleaning/Housekeeping/ Civil/ Landscape
  • Ensure security for Block C4 and C5 MESTECC

 

Client Charter

Preparation Minutes of Meeting

  • Every minutes of meetings which involves this department as its secretariat shall be completed and distributed to members within three (3) working days.

Handling of Ministry’s Letters

  • Posted letters received on the same day will be distributed according to units and department except for letters that came after lunch break which would be sent on the following day
  • Mail delivered by hand would be sent on the same day or on the following day
  • Complaints of faulty equipments and buildings
  • Complaints on equipment and buildings will be follow-through on the same day
  • Contractors or relevant maintenance personnel will look through and repair when necessary within 15 minutes after report has been lodge

Store

  • To ensure that the process of requesting office equipments and stationery’s to be completed within 1 hour upon receiving the application.

Official vehicle Bookings

  • Applications/request for booking of MESTECC official vehicles would be processed immediately upon receiving it. The result would be confirmed within 24 hours of request.

Request for Security Pass

  • To ensure the security pass is prepared within 5 working days upon receiving the request.
